How to plan a school trip

How to plan a school trip

Planning a school trip can be a complex and admin heavy task for educators. There’s logistics, finances and risk assessments to manage – on top of ensuring the program actually meets key educational outcomes and makes an impact. Working hand in hand with an educational travel provider such as Infuse Travel takes the logistical burden away from teachers so they can concentrate soley on their student’s experience.

Infuse Travel provides comprehensive, curriculum-aligned school excursions and travel programs across Australia and around the world. We fully manage your risk assessments, itinerary logistics and financial administration where required, while also ensuring strict adherence to duty of care obligations, safety policies and school educational outcomes.

Whether you are seeking approval from your school Principal for a Central Australian Cultural Immersion or planning an Expedition to South East Asia , Infuse Travel is your definitive educational travel partner.

SETTING UP A SCHOOL TOUR TYPICALLY INVOLVES THE FOUR STAGES BELOW:

1. Connect with school travel provider

We begin by collaborating closely with you to understand your specific goals and educational objectives, as listen to your school trip ideas. In our initial discussions we’ll gather information around your schools’ preferred dates, budget, goals and destinations. Maybe you’re keen on one of our existing programs, or perhaps you’re looking to build something new from scratch! Whatever it is, we’re here to support you to meet your goals.

From there, we’ll provide a customised program proposal that includes destination options, itineraries, quotes and everything the school needs to know to get your tour approved and off the ground. Read more about the collaboration stage in the FAQs below.

2. Gain school approval and launch trip

Once we have approval to move forward, it’s time to start planning your journey! You will be assigned their own Group Travel Coordinator who will guide you through the pre-departure process. The’ GTC’ is the single point of contact at Infuse to provide program information, administrative support and guidance. See them as your expert on speed dial! We’ll launch the trip to students and parents, and provide exciting marketing support to generate as much interest as possible within your school community.

5. Post-Travel Activities

Once students return from their Infuse Travel program, we want them to continue to feel supported and part of a community. The objectives of the post-travel phase are to:

  • Foster a global community of engaged and empathetic young people who share a commitment to social and environmental justice.
  • Empower students to apply the lessons and skills they gained from their travel experiences to effect positive change in their own lives and communities.
  • Provide ongoing resources and support for students’ personal growth and development, including access to educational and leadership opportunities, mentorship, and networking.
  • Continuously evaluate and improve our programs to ensure they are impactful, ethical, and sustainable, and that they align with our values of cultural exchange, community service, adventure, and education.

Through our post-travel phase, we strive to continue to support and empower students beyond their program experience. We offer a variety of resources and opportunities for students to stay engaged and connected with the Infuse Travel community. This includes access to alumni events, online resources and tools, and ongoing support from our team.

EXPLORE MORE FOR SCHOOLS

How to plan a school trip
"I had the absolute privilege of travelling with over 50 students to Fiji for a transformative service learning experience facilitated by Infuse Travel. It was truly an incredible journey that left a profound impact on every single one of us. Witnessing my students step out of their comfort zones and embrace the challenges presented to them was honestly the best, and a reminder of why I do what I do. The Infuse team is amazing and deserve the highest praise for running such a slick operation."
Jo Craig, Teacher, Australian International School of Hong Kong
"I have been a teacher at the school for 30+ years . This was quite probably the best experience of its kind I and the students have ever had. We stepped well outside our comfort zones and we worked on a Community Service Project which I feel was of real value. The leadership, organisation, professionalism and the relationships we formed with the Infuse staff were a very large factor in making this trip an overwhelming success."
Andrew McKie, Teacher, The Geelong College
"I recently returned from a Central Australia camp with 60 Year 9’s in tow. Students left their phones behind and stepped up to embrace an Indigenous On Country experience; sleeping in swags, swimming in gorges and a sunrise camel ride at Uluru to name a few highlights. Thank you Infuse Travel for your fantastic group leaders and superbly organised tour."
Carla Mathisen, Mentone Girls’ Grammar
"Infuse go above and beyond. Their level of communication, professionalism and passion for ensuring everyone has a bespoke experience is admirable and evident in every aspect of what they do."
Michael Pillay, Teacher, Cumberland High School
"Our students particularly appreciate the enthusiasm of the Infuse staff, who create a positive and happy environment far from home. The trips always culminate in heartfelt farewells at the airport, a testament to the memorable and impactful experiences shared."
Annemarie Denton, Teacher, Cornish College
"My overall experience of working with Infuse has been exceptional. I will be taking another group of students for the third time this year. I have found it a highly valuable experience, both personally, and for the students we take each year."
Jane Lowe, Teacher, Leader of Learning, Chevalier College

FAQs

We believe that travel should be an extension of the classroom, and as such, we aim to create experiences that are aligned with educational outcomes. When choosing a destination and program, consider the specific educational outcomes you hope to achieve. These could include developing cross-cultural competency, enhancing language skills, promoting environmental awareness, or fostering global citizenship. Our team can work with you to tailor your program to meet your educational goals and ensure that your trip aligns with your school’s curriculum and learning objectives.

It’s important to note that Infuse Travel designs our programs in conjunction with school educators to ensure that they align with the school’s aims and educational outcomes. Our team of experienced professionals work closely with educators to create programs that are not only engaging and transformative but also complement the school’s curriculum and learning objectives. We understand that travel is an opportunity to expand horizons, and we strive to make each program a meaningful and educational experience for every participant.

The ideal trip length will depend on the destination and the objectives of the program. For example, a ten-day program in Australia can be an incredible opportunity for students to immerse themselves in the local culture and make a meaningful impact through service projects. On the other hand, if your group is travelling to an international destination outside the Asia-Pacific region, a two or three week program may be more suitable to allow for deeper cultural immersion and a broader range of service opportunities. Our programs are designed to maximise your time and create a meaningful experience, regardless of the length of your stay.

Each destination offers different service opportunities. Think about whether you want your efforts to benefit people, animals, or nature. Our programs are centred around specific types of service projects, so take some time to think about what you would enjoy working on, where your skill sets lie, and how much service you want to do. You can explore our service-learning opportunities here.

With our expert guidance and support, we’ll work with you to create a customised itinerary that aligns with your group’s goals and interests, ensuring a truly transformative experience for all participants.
